Some companies use maintenance management software in order to optimize their maintenance operations within their organization. But… are maintenance management and asset management the same thing? The answer is no.
While maintenance management software focuses on maintenance activities, asset management software aims to maximize the efficiency of equipment throughout its life cycle: minimize failures, reduce losses, and maximize profits.
Asset management software has a variety of modules that allow you to record all asset data, contextualize it, and obtain information to optimize processes and increase ROI (Return on Investment). All this, ensuring the correct execution of maintenance tasks with all the health and safety measures to avoid accidents thanks to the HSE module.
Asset Management Modules
The most relevant modules that all asset management software should have are specified below:
Maintenance Module
It is the main module, around which the rest of the modules and functionalities of the system revolve. It is where asset management and the management of preventive and corrective maintenance are carried out.
It allows the creation of an efficient workflow of work orders to create and process all maintenance activities. Contextualizing with work instructions, planned vs. actual hours, necessary materials and tools, work permits, LO/TO procedures, costs, etc.

Generates preventive maintenance based on time or from meter readings (hours of operation, kms, starts, etc.). This avoids reactive work (when there is a breakdown that prevents production) and increases the productivity and availability of assets. Allowing to reduce both operational and maintenance costs.
It is useful to have multiple types of planners to perform easy and intelligent planning and allocation of work orders.
Inventory and Purchasing Module
It allows avoiding stock shortages by having control of the inventory, and thus being able to define a minimum inventory necessary and the ideal supply point to acquire the materials and resources. All this registering the complete process of the purchasing logistics, from the order to the invoicing of the items.
Document management
It allows the creation of a central library of procedures, technical standards and employee knowledge, in order to take advantage of them in the future and thus preserve and expand the knowledge of the entire company. With the documentation centralized and digitized, the use of paper in the company is reduced and facilitates access to knowledge from any site and device.

HSE Module
The integration between safety management (HSE) and maintenance is the key to improving industry performance.
The HSE module allows the digitization of work permits, management of HSE incidents, Lockout / Tagout (LO/TO) procedures among many other functionalities.
Asset Management with Ultimo CMMS/EAM
By implementing the Ultimo EAM system, you can have complete traceability of information and actions performed on the asset, even crossing with field data, allowing for improved decision making to increase the life and efficiency of assets.
Having all the information and documentation centralized in the Ultimo platform, facilitates the analysis and exploitation of this data, sharing knowledge among employees and optimizing decision making.
Ultimo allows automating maintenance processes, such as the generation of preventive maintenance work or condition-based maintenance, to reduce the administrative workload and optimize all internal processes. Thus reducing both maintenance and administrative costs.
It has its own application, allowing to eliminate the use of paper and increase labor efficiency thanks to the use of mobile technologies.
Ultimo provides a global view of the situation (instead of having multiple independent systems) to record information on assets, their maintenance and risk prevention processes.
